For the City Council to authorize purchase orders for flail mower attachment parts to Coastline Equipment, RDO Equipment, and Belkorp Ag. |
| | | | | | | | BACKGROUND
The Public Works Department Vehicle Maintenance Division is responsible for maintaining the City’s fleet of vehicles and equipment. The Public Works Parks Division utilizes two (2) John Deere tractors with three (3) Alamo flail mower attachments per mower. Due to the exorbitant cost increases of the parts needed to rebuild these mower attachments and to avoid delays in the purchase and delivery of the required materials to meet our customers needs in a timely manner, it is essential that Public Works have the ability to purchase these items from more than one vendor. The lowest bidder, Coastline Equipment, will be designated as the primary vendor. Belkorp Ag and RDO Equipment will be the second and third vendors utilized. |

Specifications were prepared and sent to the only vendors authorized to sell Alamo parts in the Western United States. The parts quoted were the amount needed to rebuild the attachments for one flail mower.

| | | | | | | | FINANCIAL IMPACT
The financial impact to the Fleet Management Fund would be $150,000 per year for five (5) years. There is no impact to the General Fund. |
| | | | | | | | RECOMMENDATION
It is recommended that the City Council:
- Authorize the Finance Director to issue three (3) purchase orders for flail mower attachment parts in a fixed amount collectively not to exceed $150,000 per year for five (5) years and to be divided between Coastline Equipment, Belkorp Ag, and RDO Equipment.
