Authorize the issuance of a purchase order to Coastline Equipment Company for one (1) new skid steer.  (Cost: $122,963.06) (Action Item)

OBJECTIVE

To secure City Council authorization for the purchase of one (1) new Public Works skid steer from Coastline Equipment Company through the Sourcewell competitive bid program, Contract #032119-JDC.

BACKGROUND

The Public Works Department has one (1) motor grader that currently meets the City’s guidelines for replacement. The motor grader will be replaced with two (2) smaller pieces of equipment, a skid steer through Coastline Equipment Company and a scissor lift through another vendor. This is a cost savings for the City of $75,000 in initial capital cost and $75,000 annually in equipment rental costs from outside vendors, making the Public Works operations more efficient.  The equipment was approved through the Fiscal Year 2021/22 budget process. 

DISCUSSION

Experience has shown that the City’s buying power is enhanced through joining with other public agencies to purchase fleet vehicles and equipment.  Sourcewell nationally solicits, evaluates and awards contracts through a competitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases. Staff recommends piggybacking on the results of a recent Sourcewell competitive bid program, Contract #032119-JDC. The results deemed Coastline Equipment Company as the lowest responsive bid.

FINANCIAL IMPACT

There is no impact to the General Fund. The financial impact is $122,963.06 to the Fleet Management Fund. The surplus equipment will be sold at public auction.

RECOMMENDATION

It is recommended that the City Council: 

 

  • Authorize the Finance Director to issue a purchase order in the amount of $122,963.06 to Coastline Equipment Company for the purchase of one (1) new Public Works skid steer.
