To secure City Council authorization to purchase 196 of the FJ3 RFID fuel reader kits for City vehicles under the Sourcewell competitive bid program Contract #022217. |
| | | | | | | | BACKGROUND
The Public Works Department’s Vehicle Maintenance Division has begun upgrading our fuel management system with Assetworks’ Fuel Focus module that integrates with our Assetworks fleet management software. The FJ3 RFID fuel reader kits will replace the need for fuel cards in City vehicles. The fuel reader vehicle kits were approved through the Fiscal Year 20/21 budget process. Experience has shown that the City’s buying power is enhanced through joining with other public agencies to purchase equipment. |
| | | | | | | | DISCUSSION
Sourcewell nationally solicits, evaluates and awards contracts through a competitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases. Staff recommends piggybacking on the results of a recent Sourcewell competitive bid program, Contract #022217. The results deemed Assetworks LLC as the lowest responsive bid.

There is no impact to the General Fund. The financial impact is $59,108.24 to the Fleet Management Fund. |

It is recommended that the City Council:
- Authorize the Finance Director to issue a purchase order in the amount of $59,108.24 to Assetworks LLC for the purchase of 196 of the FJ3 RFID fuel reader kits.
